Policy and Protocol

The Fundamental Standard has set the standard of conduct for students at Stanford since it was articulated in 1896. It states: Students at Stanford are expected to show both within and without the University such respect for order, morality, personal honor, and the rights of others as is demanded of good citizens. Failure to do this will be sufficient cause for removal from the University.

The Honor Code is an undertaking of the Stanford academic community, individually and collectively. Its purpose is to uphold a culture of academic honesty. 

Students will support this culture of academic honesty by neither giving nor accepting unpermitted academic aid in any work that serves as a component of grading or evaluation, including assignments, examinations, and research.

Instructors will support this culture of academic honesty by providing clear guidance, both in their course syllabi and in response to student questions, on what constitutes permitted and unpermitted aid. Instructors will also not take unusual or unreasonable precautions to prevent academic dishonesty.

Students and instructors will also cultivate an environment conducive to academic integrity. While instructors alone set academic requirements, the Honor Code is a community undertaking that requires students and instructors to work together to ensure conditions that support academic integrity

This policy is effective as of February 21, 2022. This policy will be reviewed at the conclusion of the 2021-2022 academic year and annually each year thereafter.

Recruitment and New Member Education Policies

The possession, consumption, distribution, or use of alcohol or drugs is prohibited at any recruitment or new member education event or activity hosted by a social Greek letter organization. Anyone under the influence of alcohol or drugs is not permitted to participate or attend recruitment, intake, or new member education activities. This includes the following individuals: 

  • Potential new members (those interested in membership)
  • Current or new members
  • Alumni
  • Chapter and/or Faculty Advisors
  • Non-members

Alcohol and/or drugs are not permitted to be involved, formally or informally, in the recruitment, intake, or new member education process. This includes but is not limited to the following:

  • Formal or informal recruitment events (on or off campus)
  • Bid day
  • Presents
  • New Member Presentations (Probates)
  • Step shows
  • Events hosted primarily for new members or where new members are required to attend

The recruitment or intake period begins during Orientation, the first Informational, or in the absence of either, the first recruitment event. There is a 48 hour moratorium on all events with alcohol following the distribution and acceptance of membership. 

The membership education or intake period ends following the completion of the formal initiation process signifying full membership.

All chapters that plan to engage in recruitment and/or intake must notify and receive approval from Fraternity and Sorority Life, prior to beginning events. Please complete the appropriate notice of recruitment form in CardinalEngage.  

Failure to adhere to this policy may result in a referral to the Student Group Accountability Process. Governing Councils, including the African American Fraternal and Sororal Association (AAFSA), Interfraternity Council (IFC), Inter-Sorority Council (ISC), and Multicultural Greek Council (MGC), may have additional or more restrictive policies. 

The new member education process must meet the following criteria: 

  • Conclude within 8 weeks of bid acceptance (including breaks and holidays)
  • Conclude before the finals examination period
  • Initiate new members in the quarter they were recruited, unless the chapter has extenuating circumstances and receives written exception from their Fraternity and Sorority Life Advisor.  

Failure to adhere to this policy may result in a referral to the Student Group Accountability Process. 

Plan an Event

All events need to be registered in CardinalEngage.

  • All events must be registered through CardinalEngage before submitting work orders or space requests. Once your event is conditionally approved, OSE will notify Registrar and Event and Labor Services, and they can confirm details.
  • For Registar managed spaces like classrooms and auditoria, please proceed to the 25Live scheduling site - found here.
  • A list of other commonly used spaces, and how to reserve them - found here. Please note that this list is not comprehensive.
  • Students must continue to follow all Stanford public health guidelines that are currently in place.
  • The person that registers the event is the host/event coordinator and is responsible for monitoring capacity and maintaining a list of participants for the purposes of contact tracing. An RSVP in advance is suggested.
  • A gathering of more than 500 participants will require a safety plan.
  • The health, well-being, and safety of our community is paramount. As state and county laws, public health orders and guidance evolve, and as we develop best practices in real time, we may make adjustments. Please continue to check the gathering website for the latest information.
  • While this is pending approval you may proceed with planning, but please do not make any commitments (large purchases, sign contracts, etc.) until you receive approval from our office.

    • Updated chapter roster with Stanford email addresses of members (template)
    • A list of officer roles and who is filling those positions
    • Most recent constitution
    • Contact information for all alumni advisors (template)
    • A general academic year calendar of your programs, events, and other important dates (template here if needed - feel free to bring and upload whatever system your chapter already uses, for example, OmegaFi, Google calendar, etc.)

  • Note: If you already started working on your renewal, you can continue editing it by navigating to the CardinalEngage homepage > opening the left-hand menu (three lines in the top left corner) >  click ‘my surveys and forms’ > and select ‘edit’
